Americares Foundation (“Americares,” “we”, or “us”) created this Privacy Notice to demonstrate respect for your privacy preferences and to disclose our information collection and sharing practices.

This Privacy Notice also applies to the Global Roster Portal mobile application (“the App”) owned and operated by Americares.

The websites listed above, together with the App, are collectively referred to below as “the Site.” 

This Privacy Notice explains how Americares collects and processes your personal information. Each time you use our Site, the current version of the Privacy Notice will apply. Accordingly, whenever you use our Site, you should check the date of this Privacy Notice (which appears at the top) and review any changes since the last version. This Privacy Notice is applicable to all Site visitors, registered users, and all other users of our Site. This Privacy Notice forms a part of the Site Terms of Use and shares the same terminology. You should read both documents together.

“Personal Information” is any information that enables us to identify you, directly or indirectly, by reference to any identifiers such as your name, Internet protocol or IP address, location data, online identifier, or any other factors that allow identification of individuals, including inferences drawn from any personal identification to create a profile about an individual reflecting the individual’s preferences, characteristics, psychological trends, predispositions, behavior, attitudes, intelligence, abilities, and aptitudes.

The Personal Information We Collect

Depending on the type of communication or transaction, we may collect and process the following Personal Information that you supply to us:

  • name
  • gender
  • ethnicity
  • date of birth
  • postal address and residency information
  • telephone numbers
  • organization name
  • email address
  • credit card, bank information or billing information
  • employment information
  • income eligibility information
  • medical and health information
  • login credentials for online accounts you create with us
  • government-issued identification

With regard to each of your visits to the Site we will automatically collect the following information, subject to our cookie policy below:

  • Technical information, including IP address
  • Information about your visit
  • Location information

Personal data we collect from others – this is information we receive about you if you use any of the other websites (operated by us, or another member of our group) or use any other services provided by another member of our group or us.

We collect information that is sent to us automatically by your web browser and we may use this information to generate aggregate statistics about visitors to our Site, subject to our cookie policy below, including, without limitation:

  • Browser type and plug-in details
  • Device type (e.g. Desktop, laptop, tablet, phone, etc.)
  • Operating system
  • Local time zone

We may use such information for various purposes in support of our nonprofit mission such as providing user services, fraud prevention, research, and improving our Site. Please check your web browser if you want to learn what information your browser sends or how to change your settings. We may also collect and process information about your interactions with us, including details about our contacts with you through email, SMS, U.S. Post, on the phone or in person (i.e., the date, time, and method of contact), details about donations you make to us, events or activities that you register for or attend and any other support you provide to us.  We may also collect and record any other relevant information you share with us about yourself, including your interests or your affiliations with other charities, community groups, your employer or an Americares corporate partner.

Americares retains the information we collect no longer than as reasonably necessary to fulfill the purposes for which we collect the information and to comply with our legal obligations.

How We Use Your Personal Information

We use Personal Information for the following purposes:


Personal Information you give to us.

We will use this Personal Information:

  • To carry out our obligations arising from your membership, partnership, or sponsorship, application for medical treatment at our free clinics, or any other contract entered into between you and us and to provide you with the information, products, and services that you request from us;
  • To provide you with information about our work or our activities;
  • To fundraise in accordance with our internal policies and procedures;
  • To organize events that you have registered for, and to provide you with information, and other materials, relating to the content of the event, the speakers, sponsors and other attendees;
  • To provide our newsletters and publications, provided you continue to give your consent;
  • To respond to your questions and provide related services;
  • To provide you with information about other events, products and services we offer that are similar to those that you have already purchased or attended, provided you have not opted-out of receiving that information;
  • To tailor promotional materials related to our nonprofit mission that is presented to you on the Internet according to your interests, preferences and other characteristics (as described below);
  • To respond to applications for employment or volunteering;
  • To transfer your information as part of a merger or sale of the business;
  • To ensure that content from our Site is presented most effectively for you and your device; and
  • Where we are required by law to disclose or otherwise use your information.

Information we collect about you.

We will use this Personal Information:

  • To administer our Site and for internal operations, including troubleshooting, data analysis, testing, research, statistical and survey purposes;
  • As part of our efforts to keep our Site safe and secure; and
  • To measure or understand the effectiveness of advertising we serve to you and others, and to deliver relevant advertising to you, where appropriate and applicable.

We Do Not Knowingly Collect Information From Children.

We do not knowingly collect or solicit Personal Information from anyone under the age of 18 or knowingly allow such persons to provide us with their Personal Information without verifiable parent or guardian consent. If you are under 18, do not send any information about yourself to us, including your name, address, telephone numbers, or email address, unless you have your parent’s or guardian’s permission. In the event we learn that we collected Personal Information from anyone under the age of 18, and do not have a parent or guardian’s consent, we will delete that information as quickly as possible.

In accordance with certain state laws, where applicable, minors under the age of 18 or their parents or guardians may remove or request and obtain removal of content and information that they post on the Site.

If you believe that we might have any information from or about anyone under the age of 18, or if you wish to remove or request and obtain removal of content and information, please contact us at info@americares.org or call us Monday through Friday, 8:00AM – 5:00PM Eastern Time at 203-658-9500. We may require verification of identity, age, and/or your relationship to the minor.

Sharing of Your Personal Information

This section describes the reasons why we might share your Personal Information with third parties and, where applicable, how you may opt out of such sharing.

We may sell, share, or rent Personal Information about your donation or visit to our Site to others unless the donor or visitor has instructed Americares not to do so by e-mailing info@americares.org. We primarily collect information from users only in connection with online donations, sales of tickets to special events or fundraisers, and for any other purposes that are clearly identified.

Americares may share e-mail address and physical mailing address information, phone number*, and donation amount and history gathered from subscribers with third-party vendors who may share some of this information with other non-profit organizations or entities for fundraising purposes. *Americares will not share mobile telephone information with third parties or affiliates for marketing or promotional purposes of those third parties. And to the extent that you consent to our use of your mobile telephone information for our own marketing or promotional purposes, we will not share that consent with third parties.

Occasionally, Americares does exchange or rent mail lists to like-minded organizations through bonded third-party vendors. These organizations are never given direct access to Americares’ donor database. Americares itself screens each mailing before we allow it to be sent to our list. Information pertaining to current Americares board members, major donors, and/or $250+ donors is never — under any circumstance — released to external entities for the purpose of list rentals or exchanges.

Should you not wish your information to be shared with or sold to other organizations, you may opt out at any time by contacting Donor Relations at info@americares.org.  Our online donation form also explains the process for opting out and displays the info@americares.org e-mail address for those users who wish to make donations, but do not want to receive any additional information or other material from Americares.

Also, when you send a donation in honor or in memory of someone and request that an acknowledgment be sent to another individual/family, we will use the name and address of that individual/family for acknowledgment purposes only.

The Personal Information that you provide to us is generally stored on servers located in the United States, and the Site is intended for use in the United States. If you are located in another jurisdiction, you should be aware that once your Personal Information is submitted through our Site, it will be transferred to our servers in the United States where there are varying U.S. federal and state laws, and industry recognized data protection requirements in place.  Americares does not solicit donations from individuals outside the United States.  Please do not send us your Personal Information if you reach our Site from outside the United States.

In addition to the foregoing purposes, we may share your Personal Information for the purposes described in this Privacy Notice as follows:

  • With partners, suppliers, and sub-contractors, such as information processing and other services related to the organization.  These third parties are not permitted to use your Personal Information for any purpose other than providing Americares with services.
  • If you make a donation online, by phone, through the mail, or by other means, we will share your Personal Information with the authorized third parties who provide Americares with credit card, bank, and other payment services.
  • Analytics and search engine providers that assist us in the improvement and optimization of our Site.
  • In the event that we sell or buy any business or assets, in which case we will disclose your Personal Information to the prospective seller or buyer of such business or asset.
  • Mobile device information will not be shared with third parties for their marketing purposes.
  • If we have reason to believe that there has been some inappropriate interference with or use of our Site, communications, charitable services or personal or real property (for example, see the Terms of Use), or if we have reason to believe that one of the Americares website users, donors, employees or other related parties may have been injured or may have harmed some other party, we will disclose, without notice to you, Personal Information as we deem appropriate or if compelled by a legal or regulatory authority.

How does the Site use cookies?

Cookies are simple text files stored by your web browser that provide a method of distinguishing among donors and visitors to the Site. Americares uses cookies to identify your browser as you visit pages on Americares and third-party websites. Cookies also allow Americares to provide more relevant, targeted content as you travel through sites in the Google network as appropriate.

We use services such as Google AdWords and Google Analytics for tracking, reporting and analyzing website activity. We do not run interest-based advertising campaigns that collect personally identifiable information including, but not limited to, email addresses, telephone numbers, and credit card numbers, nor do we associate Personal Information with remarketing lists, cookies, data feeds, or other anonymous identifiers. We do not use or associate targeting information, such as demographics or location, with any Personal Information collected from the ad or its landing page. Americares does not share Personal Information with Google through our remarketing tag or our product data feeds that might be associated with our ads.

Marketing and Informational Cellular Text Messages and Telephone Communications

By submitting your telephone number to our Site, you expressly consent (opt-in) to receiving marketing and informational texts and calls, including without limitation auto-dialed or pre-recorded messages, to the telephone numbers that you provide, including any mobile telephone number, by us (or others on our behalf). You acknowledge and agree that your consent is being provided in connection with the Telephone Consumer Protection Act, where applicable, and that you and we both intend that your consent be interpreted as liberally and broadly as possible thereunder to validate our ability to carry out our nonprofit mission with you via telephone/mobile/cellular device, for any and all of the purposes set forth in this Privacy Notice in the above section titled “HOW WE USE YOUR PERSONAL INFORMATION”.

We will not contact you via text messages or alerts for marketing purposes without your prior affirmative consent. If you opt-in to receiving text messages, standard messaging and data rates may apply. You can always opt-out of text messages by replying STOP, and you can adjust the settings on your mobile device to turn off push notifications. You may also withdraw your consent by writing to us at info@americares.org. Any withdrawal of your consent will not apply to any electronic communication(s) previously sent or in process. Your withdrawal will become effective only after we have had a reasonable time to process your withdrawal request.

Correcting Your Information

You may request to correct or amend the Personal Information maintained in Americares’ mailing lists by contacting info@americares.org.  To protect your privacy and security, we will take reasonable steps to verify your identity before granting access or making corrections. Prior to being given any information, callers will be asked cross-referenced questions, i.e., full name, address, phone number, and, if applicable, credit card expiration date, in order to verify their identity and protect the privacy of Americares’ donors.

This site contains links to other sites. Americares is not responsible for the privacy practices or the content of these linked websites. When you navigate away from our Site to the sites of such third parties, we encourage you to review the privacy notices of those sites.

Our Commitment to Data Security

Personal Information is securely stored and is not publicly accessible. To prevent unauthorized access, maintain data accuracy, and ensure the correct use of information, Americares has put in place appropriate physical, electronic, and managerial procedures to safeguard and secure the information we collect online. Our third-party payment processors process financial transactions securely using the Payment Card Industry Data Security Standard, including encrypting transactions to provide an additional layer of security.

Changes to our Privacy Notice

In the event that Americares decides to change its Privacy Notice, we will post those changes on our website so that users are always aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it. Any changes will be effective immediately upon the posting of the revised notice.
